    Education and Experience:




    • Minimum of 8 years of recent experience in the travel or related industry

    • Minimum of 4 years of executive administration experience preferred

    • 4-year Bachelor's degree preferred



    Certificates, licenses or registrations:



    One or more of the following certifications preferred:




    • Certified Travel Industry Executive (CTIE)

    • Certified Travel Counsellor (CTC)

    • Global Travel Professional (GTP)



    Knowledge, Skills, and Abilities:



    Computer/software




    • Proficient MS Office (Word, Excel, Outlook, PowerPoint)

    • Advanced American Express Travel and Concur

    • High-level understanding of iPhone and iPad hardware use preferred

    • Internet research



    Administrative




    • Extremely strong attention to detail and organizational skills

    • Excellent time management and ability to prioritize tasks with competing deadlines

    • Professional written and oral communication/listening skills, including ability to edit



    Interpersonal




    • Able to anticipate travel and administrative needs (i.e., anticipate inclement weather impact on travel, forward-thinking)

    Our current opening is for an experienced Corporate Travel Administrator who will be primarily responsible for the planning, coordination, and smooth execution of all travel conducted by select executives and officers of the company. Additionally, the Corporate Travel Administrator will work closely with and serve as a back-up to certain Executive Assistants to support any administrative duties involving the executive office of the company. Such responsibilities may include managing daily agendas, prioritizing communication internally and externally, and coordinating logistics for our Board of Directors. The Corporate Travel Administrator is expected to independently manage multiple tasks and projects with competing deadlines, and work seamlessly with the broader team of Executive Assistants to manage information flow among the officers. 



    Specifically, the Corporate Travel Administrator will have responsibility for:



    Travel Planning, Coordination, and Execution




    • Completes all travel planning and coordination (primarily domestic, but also international) for select executive officers of the company; Includes scheduling flights and ground transportation, booking accommodations, and handling any other trip-related tasks; Ensures all travel planned complies with the company's Travel & Entertainment Policy and is optimized to create the most efficient schedule for the officer(s)


      • Actively monitors all travel which includes reconfirming reservations, checking-in for flights and forwarding boarding passes, checking on flight status and communicating delays and changes, updating ground transportation and communicating last minute changes and/or requests

      • Serves as the primary point of contact real-time to make any changes to travel schedule, whether planned or unplanned; Remains flexible and available to respond immediately, using resources to make adjustments, as needed or requested

      • Ensures officers' Outlook calendars contain all up-to-the-minute travel information



    • Prepares, reviews, and submits travel receipts for select executives and other officers; Monitors reimbursement to ensure appropriate funds are deposited in intended accounts



    Administration for Executive Office




    • Schedules meetings and appointments for select execuitve officers and serves as a back-up to other Executive Assistants, as needed; Includes coordinating both internally and externally to ensure requested attendees are available and adequate time; Anticipates the stated and unstated needs of the executive(s) and proactively stays out in front

    • Conducts general administrative duties, including ordering office supplies, kitchen supplies, and business cards, securing signatures, copying, faxing, scanning, processing incoming/outgoing mail, editing documents and updating PowerPoint presentations

    • Screens incoming phone calls to the executive office professionally and in a timely manner, routes calls, takes messages for callback or fields on own initiative

    • Assists with planning, coordinating and communicating logistics for Board of Director's Meetings



    Often works non-standard hours, and at-times works in an “on-call” capacity.



    Performs other duties as assigned.
